2009 Earn A Computer Class

Activities which remain to be done for the 2009 Adult Earn A Computer Class

The timeline starts at the beginning of the Adult Earn A Computer session.

Plan Classes

  • Plan starting date for next class session. Starting date is usually three weeks after graduation class. We have 1 makeup class, with two non-class weeks after that, to reorganize the shop, and make any upgrades/changes to the classroom and future computers.
  • Coordinate with the shop, and ensure that enough computers will be available.
    • Ask shop if the potential start date will be OK, or if the shop needs a more than a couple of weeks until the next class.
  • Determine who will be available to teach.
  • Write down the class dates for the new class on the whiteboard in the classroom.
    • Put instructor names next to the classes that they are responsible for teaching.
  • Put the class schedule on the Yahoo Shop Calendar.
  • FUTURE: Put class schedule on Website!

Enroll Students

  • Take latest messages from voice mail.
    • Add interested parties from voice mail into student database
  • Add students from the paper booklet to the student database.
    • Use the “Add to waiting list”
  • Print call sheets
    • Run New Class Call Sheet in Database. Print the report.
    • Run Dropouts From Prior Class Call Sheet in Database. Print the report. * Often, students cannot control whether they can take classes. These students should be given priority, for at least one more round.
    • Split up call sheets between volunteers if there are too many call sheets.
  • Call potential students
    • See calling script (Note this is the script for kids – modify as necessary)
    • Verify that the student will attend.
    • If the student will attend, put a checkmark on the list next to the student's name.

Create New Class

  • In student database, create a new class
    • Check off each student that will be in the new class
    • Set the class as active
    • Set prior class as inactive (should have been done before this but…..)
    • Print Class Roll Sheet
    • Print Welcome Letter
    • Print Envelopes
  • Print name tags for students to put on their monitors.
    • Name tags form is in the student database.
  • Ensure that we have enough USB keys for upcoming class.
    • We try for $6-$7 USB keys.
  • Get the Email Signup Sheet from student database, and save it on the instructor machine, or print it.
    • Instructor will ask each student what they'd like their username to be when they get their Byteworks email address.
    • This can be done preferably in one of the first two classes.
    • Create e-mail accounts for students!

Graduation Certificates

Graduation certificates can be printed at any time during the EAC session, but really should be printed after we validate the spelling of the students' names.

  1. Boot into the Windows machine in the front room
  2. Log in as “Byteworks”, see an administrator for the password if necessary
  3. FIXME There's a powerpoint presentation that's on the computer called “graduation” or “diploma” or “certificate”,

(Try searching in Desktop/Byteworks folder, My Documents)

  1. Grab the clipboard from the classroom, and create a certificate for each of the students that have missed 2 classes or fewer, obviously don't count classes that are in the future.
  2. Try to print to the color printer that's in the corner. If you can't do that, then please just e-mail me the powerpoint pres.
  3. TODO: We should incorporate the certificates with the database, so we don't have to double-enter student names. See Student Database

Class Duties

First class (Intro to Computers)

  • Ensure that Frankenstein is in corner
    • Need 2 motherboards, 2 CPUs, 2 memory sticks, and 2 hard drives. (There's one hard drive hanging on the pegboard)
  • When each student arrives, verify that his or her name is spelled correctly.
  • After class, correct any spellings in the student database.
  • E-mail Addresses
    • Request usernames from the students for the e-mail addresses.
    • We should have the spreadsheet or printout available on the instructor's machine from when we enrolled students.

Second and Third Classes

  • Check again w/shop to verify that enough computers will be ready. Give the shop an updated list of students who will get computers, because students drop out.

Graduation Class

  • Ensure that we have certificates printed – See the section on Graduation Certificates above.
  • Ensure that we have E-mail addresses created
    • When creating E-mail addresses, there's a handy “Print” page that prints out E-mail info. This is shown after you create each user!
    • Print out E-mail Form that we give to students.
      • Email form is in student database
      • Email form needs fixing, because it doesn't automagically find the latest class. It prints out all ~300 students :-0
  • Mark students as Graduated
    • Database sux with this task. Create easier way.
    • Non-graduating students should be put on some list, and perhaps given the chance to re-enroll, or to be put back on the queue for classes.
  • Put students on Survey List
